Having worked with more than 300 construction businesses over the past 11 years, I’ve seen first-hand how the right technology can transform productivity, profit, and peace of mind.

But I’ve also seen the overwhelm. Thousands of tools promise to “save time”, while main contractors often expect you to use their systems — leaving you wondering how to make it all fit together.

Help Is at Hand

With support from the CITB Impact Fund, the Solving Tech for Small Builders course was produced by Construction Coach to help businesses find and embed the right tools.

While the title mentions “small builders”, the principles apply to any size of construction business.

The pilot programme, led by Tom Woodhead of Limes Consultancy, ran from April to June this year, taking 50 business owners on a 12-week journey to modernise their systems. 

The result? Participants doubled their confidence in choosing and embedding the right tech for their business, with one business owner saving £30,000 a year with better processes negating the need to recruit.

The 7 Key Steps to Solving Tech

Start with leadership and time
Step back before diving in. Protect time for strategy, not just firefighting. Tech adoption starts with mindset and leadership.

Find the leaks
Identify where you’re losing money, time or reputation — duplicated work, late payments, poor communication. Fixing these is where efficiency begins.

Fix your process before buying tech
“If you digitise a bad process, it just becomes a bad process online,” said Alistair Bayford of Frosts Landscape. Map how things really work, find the pain points, and simplify before you digitise.

Set SMART goals
Clear goals keep you focused on outcomes: saving time, improving client experience, increasing profit.

Choose tech that fits — and negotiate smartly
Don’t get dazzled by shiny software. Compare options, check integration, training, and hidden costs. Negotiate terms that work for you.

Bring your team with you
Change fails when it’s done to people, not with them. “People don’t resist change — they resist being left out of it,” says builder Pam Wilson of Kevin Wilson Master Builders. Involve your team early, show them “what’s in it for me”, and create small pilot wins.

Embed, measure, and improve
Make it stick by building tech into your daily rhythm — meetings, handovers, dashboards. Keep measuring time saved, errors reduced, and client satisfaction. Continuous improvement (Kaizen) keeps your investment working for you.

Real Builders, Real Change

The businesses taking part ranged from micro-builders to £15m contractors.
At Chi Homes, embracing AI tools like Copilot proved life-changing for owner Alli Gay, who is neurodivergent:

“Copilot has changed my life. Writing used to take me hours. Now I can communicate clearly with clients and suppliers in minutes.”

For others, small changes made a big impact:
